The Receptionist – Customer Service contributes to meeting Langham goals of exceptional customer service, quality, process improvement, and profitability by providing professional experience for individuals who make contact with through the corporate switchboard, reception area and email.
The Receptionist performs a number of administrative tasks which may change from time to time as needed by the Operations Department or other company functional areas. The ability to provide exceptional customer service as well as work efficiently with both internal and external customers is critical for the success of this position.
Evaluation of performance
Performance will be evaluated based on meeting the requirements of the job description; meeting performance metrics and other quality indicators established for this position; working according to specifications, policies, and standards established by Langham; working effectively in a team environment; and providing a high level of internal and external customer service.
Performance metrics for this position will be established annually based on: Accuracy and timeliness of assigned tasks and customer feedback.
Key outcomes expected
Quickly and professionally answer all calls coming into the corporate switchboard, transferring accurately to the appropriate party.
Provide a courteous and professional greeting to all incoming visitors – customers, vendors, job applicants, or other guests – ensuring they are directed to the appropriate personnel. Per TSA trained guidelines, ensure that no one entering the front door is allowed beyond the reception area without a proper escort, etc.
Receive, open, and sort all incoming mail; send out-going mail with appropriate postage.
Retrieve, sort and route any incoming faxes.
Interact with all delivery personnel to ensure that packages, letters, and other materials are properly received or rejected as per TSA trained guidelines.
Ensure adequate inventory of office supplies and breakroom supplies
Monitor and stock accordingly the breakroom supplies prior to beginning of shift each day
Schedule the various company conference rooms as requested.
Internal Customer Assistance
Provide clerical and/or task related assistance on an as needed basis for to:
Establish and promote positive communication within Langham internal departments to increase collaboration and reduce inefficiencies. Respond to e-mails and voice mails in a timely manner. Provide assistance to other department managers on projects as requested.
Provide courteous, professional service to both internal and external customers.
Present a positive image of Langham.

Experience, education, degrees, licenses High School diploma.
Prefer previous experience in a comparable position.
Must be able to work proficiently with computers and other office equipment.
Work is performed in an office environment.
